02 / How the department works

One plan. Three streams. One set of facts.

We start with your buyers, markets and message. Then three streams run side by side, and all of them draw on the same approved product facts, so ads, catalogues and sales sheets never contradict each other.

Stream A · Digital & international promotion

Campaigns in every market you sell to, measured from click to sale.

Each market gets its own keyword research, its own campaigns on Google, Meta and LinkedIn, and landing pages written for local buyers on your existing website.

What you receive

  • Market, audience and keyword research per language
  • Monthly media plan split by market and channel
  • Static and animated creatives in each market’s language
  • Localised landing pages and forms on your site
  • Monthly review: which markets produced enquiries and sales, and what changes next
Full description

Media spend stays on your own ad accounts, separate from our fee. Every enquiry reaches RDCopilot CRM with its market, language and campaign attached, so the monthly review connects reach and clicks to real conversations.

  • Market, audience and keyword research per language
  • Monthly media plan split by market and channel
  • Static and animated creatives in each market’s language
  • Localised landing pages and forms on your site
  • Monthly review: which markets produced enquiries and sales, and what changes next

Stream B · Publications & content production

Content your buyers read, built from one approved source.

We plan, write, produce and distribute what your company publishes: articles, newsletters, press releases, LinkedIn posts, product photography, short video and catalogues for events and sales meetings.

What you receive

  • Editorial calendar with monthly themes, owners and approval dates
  • Articles, guides, press releases and newsletters for opted-in subscribers
  • Product photo and subtitled video
  • Print-ready and digital catalogues, brochures and product sheets
  • Asset library with ID, version, language and usage record
Full description

Translations follow a shared glossary, and every file comes in an accessible version. Each asset has an ID, a language and a version, so your website, campaigns and sales team reuse the same material.

Stream C · Marketing knowledge workflows

Every claim tied to an approved fact.

Marketing copy drifts when it is written from memory and old decks.

What you receive

  • Product and offer fact base with owners and review dates
  • Library of customer questions
  • Brief and draft workflow with a source link per claim
  • Unsupported-claim flags routed to the right reviewer
  • Glossary and approved wording per language
Full description

We build and maintain one fact base: product details, published prices, customer questions from sales calls and tickets, and approved proof points, each with an owner and a review date. Briefs and first drafts link back to the facts they use, statements without a source are flagged, and when a fact changes you see every page and draft that relies on it. Drafts can run on EU-hosted or local models.

  • Product and offer fact base with owners and review dates
  • Library of customer questions

  • Unsupported-claim flags routed to the right reviewer

03 / The marketing workspace

See the work while it happens.

Your monthly subscription includes a shared marketing workspace, hosted in the EU. It holds the calendar, the media plan, the fact base, the asset library and the monthly report, so you review and approve in one place instead of in email threads.

04 / Search & AI visibility

Become a better source for the next answer.

People discover businesses through search engines, AI assistants and the tools they work in. We make your content accessible, clear and verifiable in those contexts.

  1. Establish the baseline

Agree the questions, language, market and platforms. Record the date, answer, cited sources and context of each check.

  2. Improve the sources

Resolve crawler access for search and AI agents (Googlebot, Bingbot, OAI-SearchBot, Claude-SearchBot and user-triggered agents), metadata and linking issues. Create useful pages with consistent information and evidence for important claims.

  3. Repeat and document

Compare citations and answer accuracy against the same questions. Connect them to visits and enquiries where the data allows.

Good questions

Before we start.

Can we start with one project?

Yes. We can scope a launch, a catalogue, a photography series, an SEO audit, a campaign or an AI-visibility check as a fixed project. If it works well, the same brief and materials become the starting point for a monthly department.

How is pricing structured?

A one-off setup fee covers research, the fact base, calendar, templates, tracking and the first campaigns. A monthly subscription then covers the department, the marketing workspace and support. Work beyond the agreed volume is billed at a fixed hourly rate. Your proposal states each part.

Billed separately

  • Media budget, paid directly to the ad platforms from your own accounts
  • External production, such as print or outside collaborators
  • Third-party licences, such as fonts, image libraries or tools
Who owns the ad accounts, tracking and files?

You do. You own the ad accounts, Google Analytics and Google Tag Manager, and keep admin rights; we work through user access you can remove at any time. Campaigns run on your own ad accounts, media spend is paid directly to the platforms, and tracking stays on your GA4 and Tag Manager between campaigns. Every asset is filed in the library with its ID, language and version, and handed over when you ask.

Which channels and tools do you work in?

Advertising on Google Ads (Search, Performance Max, Display, YouTube), Meta Ads (Facebook, Instagram) and LinkedIn Ads. Publishing on LinkedIn, Instagram, Facebook, YouTube, newsletters and your website. Measurement and search with GA4, Google Tag Manager, Consent Mode v2, Meta Pixel and Conversions API, Google Search Console, Bing Webmaster Tools and IndexNow, and consistent listings on Google Business Profile, marketplaces and B2B directories. Everything runs on your own accounts. The names identify where we work; they are not partnerships or endorsements.

How do you use AI?

AI prepares briefs, first drafts, variations and format adaptations, with links back to the approved facts they use. A person reviews every piece, and your reviewers approve it before it goes out. Drafts can run on EU-hosted or local models, and usage rights for every image and video are agreed before production.

Can you work with our existing team?

Yes. We can add capacity to your marketing team or coordinate a shared workflow with sales and development. Approvals, account access and owners are set in the workspace during setup.

What results do you promise?

We promise the agreed work, on the agreed calendar, measured honestly. We set a baseline during setup and report what we observe: enquiries and conversations per market from the CRM, not just clicks. Search positions and AI citations depend on each platform and cannot be guaranteed.

Which markets and languages can you cover?

The markets you sell in, agreed in the proposal. Each market gets its own keyword research, campaigns and landing pages, and translations follow a shared glossary with review for each market. We work with your team in English by default, and in your local language where we have reviewers for it.

Do we need RDCopilot CRM?

Yes. RDCopilot CRM is part of the department: every enquiry lands there with its market, language and campaign, and results appear in RDCopilot Reports. If your contacts are in a spreadsheet or another system today, we run a test import into RDCopilot CRM during setup, apply the duplicate rules we agree with you and review the result before go-live.

The next project starts here

What do you want to move forward?

Tell us what you sell, who it is for and what you want to change. We will follow up with the right questions and a project shaped around your business.

We reply with questions and a scoped proposal, in English unless you ask otherwise.
